Who we are
Total Housing Solutions is a trading name of Total Housing Group. We structure corporate lease agreements between portfolio landlords and housing providers. We are a member of the Property Redress Scheme.

What we collect
We collect what you send us. Nothing is gathered behind the scenes: this site sets no tracking cookies and runs no analytics (see our cookies notice).
When a landlord or housing provider contacts us through the site's enquiry forms or by email, we receive:
- Your name and contact details — email address and phone number.
- Your property or portfolio details — the five qualifying questions we ask before any pitch: how many properties you have, where they are, your current situation, and your timeline.
- Notes of what is discussed on calls — the first call is diagnostic, and we keep a record of it so you do not have to repeat yourself.
Why we use it, and the lawful basis
We use your information for three things, each with a specific legal footing:
- To respond to your enquiry, run the diagnostic first call, and assess fit. The lawful basis is our legitimate interest in answering the people who contact us, and, where you are exploring a lease, taking steps at your request before entering into a contract.
- Marketing — only with your consent. We do not add you to a marketing list because you enquired. If we ever ask, saying no changes nothing about how we handle your enquiry, and you can withdraw consent at any time.
- Identity and compliance checks where a lease proceeds. Where a deal moves towards signing, we carry out the checks the law requires of us. The lawful basis is legal obligation.
Who we share it with
Your information is shared only where the deal requires it, and we tell you before it happens. That is the same disclosure-before-signing principle that governs everything else we do.
- The housing provider matched to a property. They receive only what they need to assess the property, and only as a deal proceeds. We name the provider before anything is signed.
- Solicitors on both sides during legal review. Every lease goes through legal review; the solicitors involved see the information the review requires.
- Our CRM provider (GoHighLevel). When our enquiry system moves to our CRM provider, they will process enquiry data on our instructions, as a data processor. They will not use it for their own purposes.
We never sell your information. Nobody else receives it.
How long we keep it
If you enquire and no lease proceeds, we keep your enquiry record for no longer than 24 months after our last contact with you, then delete it.
If a lease proceeds, your information becomes part of the lease record and is retained for the statutory periods that apply to lease and company records.
Your rights
UK data protection law gives you rights over the information we hold about you:
- Access — ask for a copy of what we hold.
- Rectification — ask us to correct anything inaccurate.
- Erasure — ask us to delete it, where the law allows.
- Restriction — ask us to stop using it while a question is resolved.
- Objection — object to our use of it, including any use based on legitimate interests.
- Portability — receive the information you gave us in a usable format.
